Adding your ICS file

The converter gives you one file (ending in .ics) with all your duties. Here's how to add it to your calendar.

Apple Calendar

First, make a Roster calendar (once)

  1. Open the Calendar app and tap Calendars at the bottom.
  2. Tap Add Calendar, then Add Calendar again. Name it Roster, pick a colour and tap Done.
  3. So new events land in it, go to Settings › Apps › Calendar › Default Calendar and choose Roster. (On older iPhones it's Settings › Calendar.) You can switch it back after adding your roster.

On iPhone

  1. In the converter, choose Generate an ICS file, add your roster PDFs and tap the button at the bottom. Use Safari.
  2. Safari shows the list of events. Tap Add All.
  3. If the file downloads instead, open the Files app › Downloads, tap the .ics file, then Add All.

On a Mac

  1. Double-click the downloaded .ics file, or in Calendar choose File › Import and pick the file.
  2. When asked which calendar to add the events to, choose Roster and click OK.

Calendars you make in iCloud show up on all your Apple devices. You can also share the Roster calendar: in the Calendar app, tap Calendars, tap the ⓘ next to Roster, then Add Person.

Outlook

The Outlook phone app can't open ICS files, so add the file once on the Outlook website or on a computer. The events then appear in the Outlook app on your phone too.

Outlook on the web (works on a phone)

  1. Go to outlook.com (or outlook.office.com for a work account) and sign in. On a phone, switch your browser to the full website: Safari aA › Request Desktop Website, or Chrome ⋮ › Desktop site.
  2. Open Calendar. Tap Add calendar, then Create blank calendar, and name it Roster.
  3. Tap Add calendar again, then Upload from file.
  4. Tap Browse, choose the .ics file, pick Roster as the calendar and tap Import.

Outlook for Windows

  1. New Outlook: go to Calendar › Add calendar › Upload from file, choose the .ics file and the Roster calendar, then Import.
  2. Classic Outlook: go to File › Open & Export › Import/Export, choose Import an iCalendar (.ics) or vCalendar file, pick the file, then choose Import.

Roster changed?

An ICS file can't update events you already added, so adding a new file on top makes doubles. The cleanest way:

  1. Delete the Roster calendar. Apple: Calendars › ⓘ next to Roster › Delete Calendar. Outlook web: right-click (or long-press) Roster › Remove.
  2. Make a new Roster calendar the same way as before.
  3. Generate a new ICS file with all the months you need and add it again.

Use Google Calendar? Choose Google Calendar in the converter instead. It updates changed duties for you, with no deleting.
